Brief Description: Automated job download, scheduling, tracking and invoicing application

Company: Liam Chivers (Civil Engineering) Ltd

Application Opening Screen:

Each afternoon, Liam Chivers (Civil Engineering) Ltd receive jobs or works orders for the next working day from their client in the form of Excel spreadsheets as Email attachments. (Jobs are for reinstatement works i.e. backfilling pavement and/or highway dimensions, or holes, followed by black top/tarmac or white top/slabs resurfacing).

Under the control of a user, CIS locates the email attachments and copies each job into the CIS database (previously a 2 hour re-typing exercise) where it can be 'programmed' or allocated to a resource.

Each job may undergo a number of stages of programming during which time photographs are imported to the CIS database and matched against the relevant job number for later review. All email correspondence to/from the client is also tracked.

A self-employed workforce undertake jobs on a day-rate based upon minimum work levels. CIS tracks all work completed on a per man basis in order that wages can be prepared.

The previously manual invoicing procedure involved looking up values in a series of complex tables and performing calculations to arrive at amounts to be invoiced. This procedure has been automated within the CIS database.
